How our podcast production process works

We have refined a clear, collaborative workflow that takes your podcast from initial idea to published episodes on every major platform. Here is exactly what to expect when you work with us.

Your journey in six steps

Each stage is designed to keep you informed, involved, and confident in the final product

1

Discovery call

Everything begins with a free, no-obligation consultation. During this thirty-minute call, we learn about your background, your target audience, and what you hope to achieve with your podcast. Whether you are a business leader wanting to establish thought leadership, a creative looking to share stories, or an organisation aiming to engage a community, we tailor our approach to your specific situation. We discuss your preferred format — solo episodes, interviews, panel discussions, or narrative storytelling — and explore ideas for your show name, tone, and episode cadence. By the end of this conversation, both parties have a clear understanding of the project scope, and we provide a detailed proposal within forty-eight hours.

2

Strategy and planning

Once you approve the proposal, our content strategists get to work. We develop a comprehensive show blueprint that includes your podcast format, episode structure, ideal episode length, and a content calendar for the first season. Our design team creates your podcast cover art, intro and outro music, and any branded audio elements like stingers and transitions. We also help you define your unique value proposition so that your show stands out in an increasingly crowded landscape. If your format involves guests, we begin identifying and reaching out to potential interviewees who align with your audience interests and topic areas. This planning phase typically takes one to two weeks, depending on the complexity of the project.

3

Recording

With your strategy locked in, it is time to record. If you are recording remotely, we send you a detailed equipment guide and conduct a technical check before your first session to ensure optimal audio quality. For clients who prefer studio recording, we arrange sessions at our partner facilities in Scotland. During each recording, our engineer monitors audio levels in real time, flags any issues, and guides you through retakes if needed. We create a relaxed, supportive atmosphere because we know that the best content comes from hosts who feel comfortable and confident. Typically, we record multiple episodes in a single session to maintain consistency and maximise your time investment.

4

Editing and production

This is where raw recordings are transformed into polished episodes. Our audio editors remove background noise, mouth clicks, filler words, and awkward silences. We balance audio levels between speakers, apply equalization and compression for a warm and professional sound, and integrate your branded intro, outro, and transition music. For interview-format shows, we ensure that both host and guest voices are clear and balanced regardless of their recording environments. We also add chapter markers for platforms that support them, making it easy for listeners to navigate longer episodes. The editing process typically takes three to five business days per episode, depending on length and complexity.

5

Review and approval

Before any episode goes live, you receive a private preview link along with draft show notes and a full transcript. You can listen at your convenience, leave timestamped feedback, and request revisions. We include up to two rounds of revisions in our standard packages because we want you to be completely satisfied with every episode. Common revision requests include tightening certain segments, adjusting music levels, or rephrasing specific show-note passages. Our goal is to ensure that every published episode reflects your voice and meets your quality standards. Once you give final approval, we move to the distribution phase.

6

Distribution and launch

We handle the entire publication pipeline so you can focus on creating content. We configure your RSS feed, upload episodes to your hosting platform, and submit your show to Apple Podcasts, Spotify, Google Podcasts, Amazon Music, and other directories. We write optimised episode titles and descriptions that improve discoverability in search results. For your launch, we recommend publishing three episodes simultaneously to give new listeners enough content to form a habit. After launch, we provide monthly analytics reports covering downloads, listener demographics, and engagement trends, along with recommendations for growing your audience. We also assist with social media audiograms, quote graphics, and short video clips to help you promote each episode effectively.

Quality that listeners notice

Audio quality is the single most important factor in listener retention. Research consistently shows that audiences will forgive imperfect content but will abandon a show with poor audio within the first few minutes. That is why our editing pipeline includes multiple quality checkpoints.

Every episode passes through noise reduction, dynamic range compression, parametric equalization, and loudness normalisation to meet the LUFS standards required by major platforms. We also manually review each episode for plosives, sibilance, and room echo that automated tools can miss.

The result is a consistently professional sound that puts your podcast on par with the biggest shows in your category, regardless of where or how the original recording was captured.

Strategy that drives growth

Production quality alone does not build an audience. You need a deliberate content strategy that positions your podcast for discoverability and sustained growth. Our strategists analyse your niche, identify keyword opportunities in episode titles and descriptions, and develop a promotional calendar that aligns with your broader marketing goals.

We help you craft compelling episode hooks, structure your content for maximum engagement, and develop a consistent publishing rhythm that trains listeners to anticipate new episodes. For business podcasts, we integrate calls to action that drive meaningful conversions without feeling forced or salesy.

Our clients typically see measurable audience growth within the first eight weeks of following our strategic recommendations, with many doubling their subscriber base within six months.

Frequently asked questions

Common questions about our podcast production process

How long does it take to launch a new podcast?

Most new podcasts are ready to launch within three to four weeks from the initial discovery call. This includes strategy development, branding, recording the first batch of episodes, editing, and platform submissions. Rush timelines are available for an additional fee if you have a specific launch date in mind.

Do I need to buy my own recording equipment?

Not necessarily. For remote recording, we recommend a quality USB microphone and a quiet space, and we can suggest affordable options that deliver excellent results. If you prefer, we can arrange studio sessions where all equipment is provided. Many of our clients start with minimal gear and upgrade as their show grows.

Can I switch packages later?

Absolutely. Our packages are designed to scale with your podcast. You can upgrade or adjust your plan at any time with one month notice. Many clients start with the Starter package and move to Professional as their audience and content ambitions expand.

Who owns the final podcast content?

You do. Once full payment is received for each episode or project milestone, all rights to the produced content transfer to you. You are free to distribute, repurpose, and monetise your episodes however you choose. We retain only the right to reference our work in our portfolio unless you request otherwise.

What if I need to cancel or pause my podcast?

We understand that circumstances change. You can pause your subscription for up to three months without penalty, and you can cancel with thirty days written notice. Any episodes already in production at the time of cancellation will be completed and delivered as agreed.

Do you help with podcast monetisation?

Yes. Our Enterprise package includes monetisation strategy as part of the ongoing consultancy. For other packages, we offer ad-hoc monetisation workshops covering sponsorship outreach, dynamic ad insertion, listener-supported models, and premium content strategies. We can connect you with advertising networks and help you prepare media kits.
